This Privacy Policy explains how KIBOPC collects, uses, stores, shares and protects personal data when you use our website, submit a PC configuration, request a quote, place an order, pay for a product or service, contact us or receive support. KIBOPC handles personal data in accordance with the General Data Protection Regulation, Irish data protection law and applicable ePrivacy rules.

Personal data we collect

We may collect contact and delivery details such as full name, email address, phone number, billing address, delivery address, Eircode, delivery instructions, contact preferences and messages or support requests. We may collect order and finance records such as quote requests, order details, invoices, payment status, delivery status, products or services purchased, order history, refunds, warranty claims, cancellations, disputes and communications about your order. When you use the PC Configurator or request a build quote, we may collect selected CPU, GPU, motherboard, RAM, SSD or storage, power supply, case, cooler, fans, RGB components, operating system or software setup choices, performance preferences, budget preferences, saved configurations, compatibility notes, build comments, technical specifications and intended use. For diagnostics, maintenance, upgrades or maintenance, we may collect device details, serial numbers, component specifications, fault descriptions, diagnostic notes, hardware photos or videos, service history, maintenance notes, upgrade details and testing results. When you visit the website, we may collect limited technical data such as IP address, browser type and version, device type, operating system, pages visited, visit times, referring website, website interactions, cookie identifiers, error logs and security logs. When you use Kibo Assistant, live chat, support tickets or contact forms, KIBOPC may collect your name, email address, phone number, order number, support message, chat messages, PC preferences, budget, target resolution and the page you contacted us from so that we can reply and provide support.

Payment processing through Stripe

Payments are processed securely through Stripe or another approved payment provider. KIBOPC may receive limited payment-related information such as payment confirmation, payment status, amount, transaction reference, card brand, last four digits, billing name, billing address and fraud or security-check status. KIBOPC does not store full credit card numbers, full debit card numbers, CVV codes or full card security details on its own servers. Full payment card information is handled by Stripe or the relevant payment provider.

Why we use personal data and lawful bases

We use personal data to review PC configurations, prepare quotes, process orders, build custom and pre-configured PCs, provide technical services, arrange delivery and provide support. The lawful basis is usually performance of a contract or steps taken before entering into a contract. We use payment, invoice and business records to confirm payment, prevent fraud, handle refunds, deal with chargebacks, comply with tax/accounting obligations and resolve disputes. The lawful bases are performance of a contract, legal obligation and legitimate interests. We use technical data, security logs and limited website data to keep the website secure, detect abuse, fix errors, improve performance and maintain functionality. The lawful basis is legitimate interests and, where required for cookies or similar technologies, consent. We use strictly necessary cookies, local storage or session storage to remember selected PC components, saved builds, cart contents and checkout or quote information while you browse. This supports the configurator and shopping functions requested by you. Kibo Assistant may save chat history, PC selection context and privacy-notice confirmation in your browser local storage. This helps continue the support flow while you browse. You can clear browser site data if you want to remove locally stored chat or configurator information.

Google Analytics and optional analytics

KIBOPC uses Google Analytics as a third-party analytics provider to understand website traffic, page usage, user behaviour, configurator interactions, popular products, traffic sources, errors and performance trends. Google Analytics is not strictly necessary for the website, configurator, quote request or checkout to function. KIBOPC only loads Google Analytics and related analytics cookies after you give consent through the cookie banner or cookie settings, where consent is required by law. Google Analytics may process data such as pages visited, time spent on the website, device type, browser type, approximate location, referral source, interactions, cookie identifiers and usage patterns. You can refuse or withdraw analytics consent and still use the website.

Who we share data with and international transfers

KIBOPC may share personal data with trusted providers where necessary, including Stripe/payment providers, courier or postal providers, website hosting and database providers, email and customer-support tools, IT/security providers, accountants, legal advisers, insurers, regulators or public authorities. Some providers may process personal data outside Ireland or the European Economic Area. Google Analytics may involve data transfers outside the EEA, including to Google LLC in the United States. Where transfers occur, KIBOPC relies on appropriate safeguards such as Standard Contractual Clauses, supplementary measures, adequacy decisions or other lawful transfer mechanisms recognised under data protection law.

Retention

We keep personal data only for as long as necessary for the purposes described in this Policy. Quote requests and configurations are kept for as long as needed to respond and for a reasonable period afterwards; order and invoice records are normally kept for up to 6 years or longer where required for tax, accounting, legal or dispute purposes. Support, maintenance and warranty records are kept for the relevant support period and a reasonable period afterwards. Payment records are kept as needed for refunds, chargebacks, accounting and legal purposes. Security logs are kept for a limited period unless needed to investigate security, fraud or abuse.

Security and customer hardware

KIBOPC uses reasonable technical and organisational measures to protect personal data, including secure payment processing, access restrictions, secure hosting/database services, password-protected systems, data minimisation and careful handling of service records. For diagnostic or maintenance service work, you are responsible for backing up your data and removing unnecessary personal files before providing a device where possible. KIBOPC does not intentionally access personal files unless necessary for the requested service or troubleshooting and authorised by you. Please do not send payment card details, passwords, private account credentials or unnecessary personal information through Kibo Assistant, live chat, support tickets or contact forms.

Your data protection rights

Subject to legal limits, you may have rights to access your personal data, correct inaccurate data, request deletion, restrict processing, object to processing, request data portability, withdraw consent where processing is based on consent and complain to the Irish Data Protection Commission. KIBOPC does not knowingly target or provide services directly to children under 16 without appropriate parental or guardian involvement. KIBOPC may update this Privacy Policy from time to time and will publish the latest version on the website.
